A team in sync and collections under control: D-Tax modernizes its payment follow-up with Recovr

D-Tax Consulting is a Belgian firm specializing in accounting, tax advice and legal support. With a strong family culture, D-Tax has always favored close client relationships built on trust and respect. That human, respectful approach led the team to keep reminders to a minimum so as not to strain those relationships, sometimes at the expense of rigorous payment follow-up.

We didn't want to be pushy with our clients. We knew some of them personally, so we held back… but the late payments kept piling up.Magali Bauloye, HR Manager & Office Manager

As the firm grew, it became essential to bring structure to payment follow-up. Magali Bauloye, now the firm's go-to person on the subject, quickly saw what needed strengthening when she joined: a lack of coordination, no planning, and invoices that had sometimes been outstanding for several months.

Within a few months, with support from Recovr's Customer Success team, Magali overhauled the firm's practices and turned Recovr into the tool the whole team organizes its work around.

1. The Recovr dashboard, the team's daily starting point

For D-Tax's administrative team, every day now starts with one simple habit: opening the Recovr dashboard. It is the whole team's central entry point, with an overview of accounts receivable, from the cash position to amounts awaiting payment, including AR aging and open action items.

On the left, a clear summary shows everything that needs attention: invoices to process, bank transactions to reconcile manually, emails not yet dealt with, and so on.

This structured starting point lets the administrative team act proactively, clearly and quickly, instead of being at the mercy of late payments.

2. AR aging to prioritize the right actions

Another must-have view for Magali and her team is the AR aging report. It gives a concise and, above all, actionable view of every overdue invoice, grouped by age. The team can set clear priorities and act according to urgency and the size of the amounts involved.

D-Tax uses it to divide the work sensibly: Magali handles invoices more than 90 days past due, while her colleague takes care of the more recent ones.

We used to focus mainly on the oldest invoices, which were often the critical ones. But that meant we didn't spot new late payments in time, when we could have acted on them faster and more effectively.

3. Internal notes make teamwork smooth at last

Before, for lack of visibility, several people could end up following up with the same client without checking with each other first. That caused confusion and could sometimes hurt the firm's image, with clients receiving conflicting or overly frequent messages.

Now that internal notes are used systematically, every action is documented: calls made, promises to pay, communication issues. Simple as it is, this feature has proved crucial for smooth client follow-up. Every team member has immediate access to the full history of an account, so all communication stays consistent and aligned. Each reminder is credible and appropriate, and above all, there is no more repetition or misunderstanding.

4. Professional communication and flexible payment plans

One of Recovr's biggest benefits for D-Tax has been a clear, structured framework for reminders, combined with more flexibility in managing payment plans. With automation, every client receives regular, consistent reminders, and the team no longer has to justify itself each time.

We simply explain that it's an automated follow-up process. That way, we keep a good relationship without having to justify every single reminder.

Recovr has also let the team give clients more payment options. In the past, every payment plan had to be approved by management. Today the team can offer clients arrangements on its own, which speeds up the process and removes bottlenecks.

This autonomy has made the team more responsive. It has also helped D-Tax keep positive relationships with its clients while managing receivables more rigorously and effectively.

Concrete results that came quickly

With Recovr, D-Tax has improved its cash flow by streamlining invoice follow-up, while preserving the close client relationships that are essential to a family firm. With the right tool, used well, the team has struck the perfect balance between rigor and the personal touch.

  • Better visibility of outstanding amounts with the dashboard and AR aging
  • More effective reminders, because they are targeted and shared across the team
  • Payment plans set up faster, now that staff can handle them on their own
  • Better internal collaboration: tasks are now better managed and tracked

The streamlined process means cash flow under control, payments on time and less stress for the team, while the quality of client relationships is preserved.
